APU engineering student, Abdelrahman Mohamed Shawky Mohamed won a Silver Award at the MNNF FYPP Competition 2026 for MeetNote, an AI mobile app that automatically converts meeting transcripts into structured minutes, action items, and scheduled reminders.

Asia Pacific University of Technology & Innovation (APU) celebrated a significant academic success when School of Engineering (SoE) student Abdelrahman Mohamed Shawky Mohamed secured a silver award at the prestigious MNNF Network’s Final Year Project & Postgraduate (FYPP) Research & Innovation Poster Competition 2026.
Competing in Category C1 (Degree: Science, Technology, Engineering and Mathematics), Abdelrahman impressed judges with MeetNote, an innovative AI-powered mobile application designed to transform raw meeting transcripts into structured, highly actionable Minutes of Meeting.
Supervised by SoE Lecturer, Ir Dr Sharman Sundarajoo, MeetNote directly tackles a pervasive friction point in academic and corporate environments: the tedious, error-prone nature of manual meeting documentation.
Disorganized transcription often leads to missed deadlines, ambiguous responsibilities, and overlooked decisions. MeetNote resolves this by pairing Artificial Intelligence (AI) with Natural Language Processing (NLP) to instantly distill complex discussions into clear, organized records.
Far beyond basic text summarisation, MeetNote actively drives workflow productivity. The system identifies key decisions, maps specific action items to individual participants, and converts natural-language deadlines into automated, scheduled reminders.
This shifts meeting documentation from a passive archival chore into an active engine for accountability and follow-up.
What truly set the project apart from conventional AI platforms was its engineering focus on privacy and data sovereignty.
Rather than routing sensitive corporate or academic discussions through external cloud-based models, MeetNote leveraged a locally hosted Large Language Model (LLM) via Ollama.
Built on a robust FastAPI backend and an intuitive Flutter mobile interface, the system kept all data processing strictly within local deployment, entirely removing the risks associated with third-party cloud data transmission.
To benchmark efficiency, Abdelrahman engineered and evaluated a dual-pipeline architecture: a classical TF-IDF rule-based NLP framework alongside the locally hosted LLM pipeline.
This enabled a rigorous comparison of computational efficiency, lexical similarity, and contextual depth.
The completed mobile application seamlessly combined structured minutes generation, task management, automated deadline scheduling, and multi-factor authentication into a unified digital ecosystem.
MeetNote also advanced key United Nations Sustainable Development Goals (SDGs) 4 (Quality Education) by streamlining academic communication and information management, while advancing SDG 9 (Industry, Innovation and Infrastructure) through the practical integration of edge LLM inference, mobile engineering, and automated scheduling systems.
Reflecting on his win, Abdelrahman shared that receiving the silver award was both a rewarding validation and a powerful learning experience.
He noted that presenting his technical work before an expert panel sharpened his communication skills and reinforced his confidence in MeetNote’s commercial and practical viability.
He added that the recognition provided momentum to further refine the platform, with future development focusing on enhanced local AI performance, multilingual transcript support, deeper action-item analytics, and upcoming research publications.
Congratulating the student-supervisor team, APU Head of SoE, Professor Ir Dr Siva Kumar Sivanesan remarked that the award highlighted how a Final-Year Project can successfully transcend classroom assessment to become a recognized, high-impact innovation.
He emphasized that the achievement reflected the School of Engineering’s dedication to cultivating industry-relevant, research-driven engineering solutions.
Ir Dr Sharman Sundarajoo shared that watching an initial academic concept evolve into a fully functioning, award-winning AI application was deeply gratifying.
He expressed optimism that this milestone would propel Abdelrahman toward future research publications and broader technological competitions.
Through outstanding achievements like MeetNote, APU continues to demonstrate its commitment to empowering students to translate complex engineering theory into practical, privacy-conscious solutions that solve real-world problems.
